Your Business and Telephone Systems

While business owners may often take them for granted, telephone systems are actually one of the most important components of a successful business. The business phone system helps an organization communicate with their employees, customers, and vendors and is vital for conducting business. There are some features that come standard with phone systems, including a basic ring tone, voice mail, transfer and call forwarding, however there are other features and considerations that need to be taken into account when choosing a telephone system for your business.

Before choosing a telephone system for your business you will need to decide which features are most important to you as well as determine how many people will be using the phone system. Some businesses require advanced features, while others just need the basic features and are more concerned about the cost. Each business and organization needs to determine what their needs are.

There are two major types of business telephone systems. They are Private Branch Exchange, or PBX, and Voice Over IP (VOIP). Each of these systems have advantages and disadvantages which we will discuss. Before making a final decision on which system is best for your business you will need to not only understand these two systems, but also know what your particular business needs are.

A PBX telephone system offers a business a very wide variety of different phone features, from the most basic to the highly advanced. These telephone systems are run from a central PBX cabinet and are a private network. A business shares a specific number of external lines for making their telephone calls.

PBX telephone systems are very powerful and offer many advanced features along with basic ones. This form of phone system, however, is a lot more expensive than a VOIP telephone system in terms of not only their monthly charges but the installation as well. However, larger businesses may need the advanced features, which could make this type of telephone system still be cost effective.

A Voice over IP or VOIP telephone system is the newest form of telephone system. This type of system is very advantageous for businesses who need to communicate with other employees, customers and vendors out of state and internationally. Phone calls are transmitted over the internet or any type of IP-based network instead of traditional phone lines.

One of the most advantageous uses of a VOIP system is its cost. It tends to much less expensive to both install and use on a monthly basis. This type of telephone system enables businesses to use international and long distance calling at a fraction of the cost of a PBX telephone system.

When selecting a telephone system of a business, the most important consideration is determining the exact phone needs of the business. Next some upfront research will need to be done and quotes from several telephone service providers obtained. These steps will help to ensure that the best telephone system is selected to meet the needs of the business.
